Glenwalk Privacy Policy as at 1st November 2011 (New Paragraph 2.7)

1                   Purpose of this Policy

1.1 This is the privacy policy referred to in the Agreement. In accordance with the functions outlined in the Glenwalk Terms and Conditions (which includes the Club Constitution), Glenwalk (the "Club", "we", "our" or "Glenwalk") needs to collect, use and keep personal data (information) for a variety of purposes about its members, users of its website and other individuals who come in contact with the Club (each person referred to as "you" or "your").


 1.2              This Policy is a statement of Glenwalk’s commitment to protect the rights and privacy of individuals.

1.3              By using the Glenwalk.com Website and/or by submitting an application to become a Club member, you indicate that you have read, understand and accept this Policy and that you agree to the collection and use of your personal information in accordance with this Policy and the Glenwalk Terms and Conditions. If you do not agree with this Policy, you should not use the Glenwalk.com Website or apply to be registered as a Club member.

2                    Introduction

2.1              The Club sees the processing of personal data as a responsibility and has prepared this statement to demonstrate its commitment to keeping all information gathered about Club members confidential except as set out in this Policy or in the Glenwalk Terms and Conditions.

2.2              When applying to register as a Club member you will be asked to provide information to the Club, including your name, address, gender, email address, telephone number, your Mountaineering Ireland membership card number for the previous year (if applicable) and such information appearing on the online or written membership application form. The Club also collects information regarding payments of subscriptions and other charges as may arise from time to time.

2.3              The Club may also collect and process the following data about you: (a) if you contact us, we may keep a record of that correspondence; (b) information that you submit to the Glenwalk.com Website; (d) information and photos that other members of the Club submit to the Glenwalk.com Website; (e) your dietary requirements (relevant to some trips); and (e) details of your visits to the Glenwalk.com Website including, but not limited to, searches you undertake, the pages you view, your browser type, IP address, requested URL, referring URL, and timestamp information and other communication data, whether this is required for our own billing purposes or otherwise and the resources that you access.

2.4              The purposes for which the Club processes personal data are for the organisation and administration of the Club (and of Club activities for members) on a day-by-day basis, organising walks, trips away, events and courses. When members join Glenwalk they also join Mountaineering Ireland. Section 5 below deals with the provision of data to Mountaineering Ireland.

2.5              Data protection is the safeguarding of the privacy rights of individuals in relation to the processing of personal data. The Data Protection Acts 1988 to Act 2003, as amended (together, the “DPA") confer rights on individuals as well as responsibilities on those persons processing personal data.

2.6              The Club holds members’ personal data in accordance with the provisions of the DPA and will adhere to any other relevant future legislation in this area. We will use information that you provide to us to administer the Club, to provide you with the services that you receive at the Club, to provide you with any other products and services supplied to you by the Club at your request, for the purposes of performing the Club’s obligations to you, for the purposes set out in this notice and for administration, club activities and events, risk assessment, insurance and health and safety.

2.7              Text messaging may be used from time to time to notify members of walk changes/cancellations or other changes affecting Glenwalk events. The Club will make use of a third party text service company which will require that your mobile number will be added to a database of the company for that purpose only. We require them to protect the information in a manner that is consistent with our privacy policies and the Data Protection Acts.

2.8              We do not disclose your personal information that you provide to us to any third party unless we have your permission (including as given in this Policy or the Glenwalk Terms and Conditions), you request that we do so (e.g. you ask us to give your name to someone organising a walk or trip independently of Glenwalk) or we believe the law permits or requires it.

2.9            Where you have provided information about another person (e.g. a minor), you confirm that they have appointed you to act for them or that you are legally entitled to act for them, to consent to the processing of their personal data, including sensitive data, and to receive, on their behalf, any data protection notices from the Club or Mountaineering Ireland (see below).

3                    Status of this Policy – how to get further information

3.1              This Policy has been prepared and approved by the Club Committee (acting on behalf of the Club) and it applies to all officers and members of the Club. The Club is happy to avail of this opportunity to inform you of the use of your personal data and information by the Club.

3.3              Glenwalk has procedures in place to ensure that data subjects can exercise their rights under the DPA and that members can obtain a copy of all information which Glenwalk has on its databases in relation to them. 3.4              You agree to keep the Club informed of any changes to the personal data that you provide to the Club.

4                    DISCLAIMER

4.1              Unfortunately, the transmission of information via the internet and email is not completely secure. Although we will do our best to protect your personal data we cannot guarantee the security of your data transmitted to Glenwalk using the Glenwalk.com Website; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access. You acknowledge that we are not responsible for any intercepted information sent via the internet or by email, and you release us from any and all claims arising out of or related to the use of intercepted information in any unauthorised manner, to the extent permitted by law.  

4.2              You should be aware that when you voluntarily disclose personally identifiable information and agree to make that information public on Glenwalk.com Website, that information, along with any substantive information disclosed in your communication, can be collected, correlated and used by third parties. These third parties or other Glenwalk.com Website users may use your information to send you unsolicited messages. Such activities are beyond our control. Please do not post any personal information on Glenwalk.com Website or in other areas that you wish to keep private.

5                    Mountaineering Ireland AND YOUR DATA

5.1              Glenwalk is affiliated to Mountaineering Ireland, which is the national governing body for hillwalking and mountaineering in Ireland. When members join Glenwalk they also join Mountaineering Ireland and have a separate contract and relationship with Mountaineering Ireland. Please refer to Mountaineering Ireland for information

5.2              The information that the Club collects about you is also provided to Mountaineering Ireland. Mountaineering Ireland has a separate privacy policy which can be viewed at Mountaineering Ireland. By clicking on the box accepting the Glenwalk.com Website privacy policy on the Glenwalk Membership Application Page, you also indicate that you have read, understand and accept the Mountaineering Ireland privacy policy and that the Club can provide your information to Mountaineering Ireland for the purposes set out in the Mountaineering Ireland policy. You agree and acknowledge that the Club is not responsible for the actions taken by Mountaineering Ireland in respect of your data.

6                    Changes to THIS Privacy Policy

6.1              Any changes we may make to this Glenwalk Policy in the future will be posted on this page and, where appropriate, notified to you by email. You should visit this page periodically to review any changes to this Policy.

Procedures for privacy

7                    A1. Data is not provided to third parties without individual consent, with the exception of Mountaineering Ireland and as required in the organisation of club activities / events.

8                    A2. Email communications to members shall be ‘bcc’ – i.e. individual email addresses shall not be visible. Contact information may be shared within interest groups in the Club.

9                    A3. The Club shall give a copy of his/her personal data to any individual on request, and will correct the data or, in certain cases as defined in the DPA, block or erase the data where that individual so requests

10                A4. The Club shall endeavour to keep data accurate, complete and up-to-date. It is the responsibility of club members to inform the email communications officer when their email, postal address, phone number or other contact or personal details change.
